Adjoint(e) de direction

Lieu : Montréal (mode hybride : en moyenne 3 jours par semaine au bureau)


Principales responsabilités

  • GĂ©rer et maintenir les calendriers, rendez-vous et dĂ©placements des cadres supĂ©rieurs

  • Organiser et coordonner les rĂ©unions et Ă©vĂ©nements, incluant la rĂ©servation des salles et de l’équipement requis

  • PrĂ©parer, vĂ©rifier, consolider et distribuer les prĂ©sentations et documents destinĂ©s Ă  la direction

  • Assurer le suivi des livrables et des Ă©chĂ©anciers avec des Ă©quipes situĂ©es dans diffĂ©rents emplacements

  • Surveiller, trier, rĂ©pondre et distribuer les communications reçues via Outlook, Microsoft Teams et autres canaux

  • PrĂ©parer, soumettre et assurer le suivi des rapports de frais de dĂ©placement

  • CrĂ©er et maintenir les organigrammes

  • Accueillir les visiteurs et reprĂ©senter la direction de manière professionnelle

  • RĂ©diger, rĂ©viser et mettre Ă  jour la correspondance, les rapports, les prĂ©sentations et les documents confidentiels

  • Appuyer les processus d’embauche, de dĂ©parts et le suivi des vacances

  • Soutenir divers projets spĂ©ciaux tout en respectant un haut niveau de confidentialitĂ©

  • Coordonner les Ă©chĂ©anciers et la gestion des flux de travail pour les tâches rĂ©currentes

  • Assurer la liaison avec la haute direction et les diffĂ©rentes fonctions de soutien

  • Accomplir toute autre tâche connexe au besoin

Exigences du poste

  • Minimum de 5 annĂ©es d’expĂ©rience pertinente Ă  titre d’adjoint(e) de direction ou dans un rĂ´le similaire

  • Excellentes compĂ©tences en communication Ă©crite et verbale en français et en anglais

  • MaĂ®trise de la suite Microsoft Office (Outlook, Teams, Word, Excel, PowerPoint)

  • Solides compĂ©tences organisationnelles, stratĂ©giques et en gestion du temps

  • Connaissance des pratiques et procĂ©dures administratives de bureau

  • DiplĂ´me d’études postsecondaires requis

  • Connaissance des calendriers de rapports financiers et/ou des responsabilitĂ©s de secrĂ©tariat corporatif (atout)

  • ExpĂ©rience avec la plateforme Diligent (atout)

Executive Assistant

Location: Montreal (Hybrid – average 3 days per week in office)


Key Responsibilities

  • Manage and maintain executive calendars, appointments, and travel arrangements

  • Coordinate and schedule meetings and events, including meeting rooms and required equipment

  • Prepare, verify, consolidate, and distribute executive presentations and meeting materials

  • Follow up on deliverables and timelines with internal teams across multiple locations

  • Monitor, respond to, and distribute incoming communications via Outlook, Microsoft Teams, and other channels

  • Prepare, submit, and track travel and expense reports

  • Create and maintain organizational charts

  • Receive and interact with visitors, professionally representing the executive team

  • Prepare and edit correspondence, reports, presentations, and other confidential documents

  • Assist with onboarding, resignations, and tracking vacation schedules

  • Support special projects while maintaining a high degree of confidentiality

  • Coordinate workflows and deadlines for recurring administrative tasks

  • Liaise with senior management and various support functions

  • Perform other related duties as required

Qualifications

  • Minimum of 5 years of experience as an Executive Assistant or in a similar role

  • Excellent written and verbal communication skills in both French and English

  • Strong proficiency with Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint)

  • Strong organizational, strategic, and time management skills

  • Knowledge of standard office administrative practices and procedures

  • Post-secondary education required

  • Understanding of financial reporting calendars and/or corporate secretary responsibilities (asset)

  • Experience using the Diligent platform (asset)
