We are seeking a friendly, organized, and professional Receptionist to join our team. The Receptionist will be the first point of contact for visitors, clients, and employees, ensuring a welcoming and efficient environment. This role requires excellent communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced setting. The Receptionist will support various administrative functions and contribute to maintaining a smooth day-to-day operation of the office.<br><br>
Key Responsibilities:<ul><li>Greet and welcome visitors, ensuring a positive and professional first impression.</li><li>Answer, screen, and direct incoming phone calls, providing appropriate responses or transferring to the relevant team member.</li><li>Scheduling Social Events, Trade Shows and Lunches</li><li>Maintain and manage the reception area, keeping it neat and organized.</li><li>Manage incoming and outgoing mail and packages, including courier services.</li><li>Schedule appointments, meetings, and conference room bookings.</li><li>Assist with data entry, filing, and general office administration tasks as required.</li><li>Maintain office supplies inventory and place orders when necessary.</li><li>Assist with other administrative duties and projects as requested by management.</li><li>Manage complex calendars for the CEO and VP, scheduling internal and external meetings, travel, and speaking engagements.</li><li>Prepare briefings, meeting materials, presentations, and reports in advance to ensure executives are fully informed.</li><li>Draft, proofread, and format correspondence, communications, and key documents on behalf of executives.</li><li>Handle highly confidential information with professionalism and discretion</li></ul>
<br>Qualifications:<ul><li>High school diploma or equivalent; additional certification or training in office administration is a plus.</li><li>Proven experience as a receptionist, administrative assistant, or in a similar role.</li><li>Strong verbal and written communication skills.</li><li>Excellent interpersonal skills and a friendly, professional demeanor.</li><li>Proficient in MS Office (Word, Excel, Outlook) and familiarity with office equipment (phones, printers, etc.).</li><li>Strong organizational and multitasking abilities with attention to detail.</li><li>Ability to work independently and as part of a team in a fast-paced environment.</li><li>A positive attitude and a willingness to assist wherever needed.</li></ul>
