<p>Job Summary<br><br>We are seeking a highly organized and detail-oriented Office Administrator to join our team. The ideal candidate will have a strong background in administrative support, exceptional customer service skills, and proficiency in various office software applications. This role is essential for maintaining efficient office operations and providing excellent support to both staff and clients.</p><p>Duties</p><ul><li>Manage daily office operations, including filing, data entry, and clerical tasks.</li><li>Provide exceptional customer service and support at the front desk, addressing inquiries /patient questions pertaining to hearing aids, ear wax removal, and more</li><li>Maintain accurate records and files, ensuring all documents are organized and easily accessible.</li><li>Assist with scheduling appointments and annual check ups, managing calendars for staff members.</li><li>Perform typing and proofreading tasks to ensure accuracy in all written communications.</li><li>Support the team with administrative tasks as needed, including preparing reports and presentations using Microsoft Office and Google Workspace.</li><li>Handle customer inquiries with friendliness and professionalism, demonstrating excellent phone etiquette.</li><li>Physician correspondence via sending over fax report</li><li>Check-in and check out processes, creating invoices through the software and taking payments from patients</li><li>Receiving hearing aids orders in system with serial numbers, warranty dates, etc</li><li>Performs other related duties as assigned</li><li>Maintain clean office environment; light cleaning involved</li></ul><p>Requirements</p><ul><li>Proven experience in an office environment with strong clerical skills.</li><li>Proficiency in Microsoft Office Suite (Word, Excel)</li><li>Strong communication and organizational skills with the ability to manage multiple tasks effectively.</li><li>Excellent typing skills with attention to detail for proofreading documents.</li><li>Prior experience in exceptional customer service or support roles is essential.</li><li>Experience in a medical office setting is advantageous but not required.</li><li>Strong computer skills with the ability to learn new software quickly.</li><li>Ability to maintain confidentiality and handle sensitive information appropriately.
