Job Summary
We are currently seeking a dedicated, efficient, and detail-oriented Medical Office Assistant (MOA) on a part-time basis within the Clinic. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional patient service and administrative support in a specialized clinical setting. Your enthusiasm and organizational skills will help ensure smooth clinic operations, accurate documentation, and efficient appointment scheduling. This position offers a fantastic opportunity to contribute to quality patient care while gaining valuable experience in a dynamic medical environment working with a team of specialists and medical office assistants.
Key Responsibilities:
- Serve as the first point of contact for patients, offering clear instructions and compassionate support throughout their visit, ensuring smooth flow of information for effective patient care.
- Accurately collect, verify, and update patient demographics, health records, and referral information in various systems.
- Patient scheduling/re-scheduling and confirmations via phone and in person for office appointments, clinics, and surgeries.
- Processing new referrals and other information.
- Prepare rooms for patient appointments and procedures.
- Ensuring supplies for procedures are available and prepared.
- Perform a variety of administrative duties such as billing assistance, inventory tracking, faxing, scanning, filing, and organizing reports and documentation.
- Uphold patient confidentiality and adhere to professional ethics and standards of care.
Qualifications:
- Completion of a recognized Medical Office Administration Diploma (or equivalent).
- Proficiency in Electronic Medical Records (EMR) systems and other computer systems.
- Knowledge of medical terminology, procedures, and documentation.
- Excellent knowledge and adherence to PHIPA and all legislation related to patient and medical records privacy and compliance.
- Excellent organizational and time-management skills.
- Ability to work independently and enthusiasm for being part of a functional team.
- Strong communication skills, both written and verbal.
- Strong attention to detail and data entry accuracy.
- Mush be flexible with changing priorities and willing to adjust hours to meet needs on "In Clinic" days.
- Must be able to consistently work two days per week (Wednesday and Friday)
- Must be willing to complete all internal training assigned.
Additional Information:
- Previous experience working in a specialist's (ENT/Otolaryngology) office is considered an asset.
- Previous experience with EPIC and Telus PS is considered an asset.
- All employees are required to work in compliance with the Occupational Health & Safety Act and its regulations.
- All employees are required to work in compliance with PHIPA legislation; understanding and having a deep respect for patient privacy and data protection.
- Position start date is expected to be January 2026.
- Hours of work are expected to be Wednesday and Friday for approximately 16 hours per week. Shift times may vary from time to time depending on patient load and operational needs.
- Must be legally entitled to work in Canada.
