NATURE AND SCOPE
The General Assembly Office is responsible for supporting the courts of the church, the meetings of General Assembly, Assembly Council and various committees.
The Senior Administrator provides administrative support for the Assembly Council and its committees, various committees of the General Assembly, organizes the logistics of the annual meeting of the General Assembly and for the General Assembly Office. This person also corresponds with the clerks of sessions, presbyteries, synods and General Assembly as their work relates to the General Assembly Office.
ACCOUNTABILITY
The Senior Administrator is accountable to the Principal Clerk of the General Assembly.
The incumbent supervises the support staff and the ongoing work of the General Assembly Office.
RESPONSIBILITIES
The Senior Administrator is responsible for:
- Relating to the General Assembly:
- monitor, acknowledge and follow-up on the receipt of material from presbyteries and synods such as remits, nominations, memorials, overtures;
- work with local volunteers at Assembly locations to ensure the practical arrangements are properly planned and executed;
- work and liaise with the staff of the General Assembly meeting location (ie university/conference centre);
- coordinate the preparation and distribution of General Assembly documents (such as reports to, information about,) including compilation, editing and proof reading;
- oversee and organize registration of commissioners and all General Assembly participants (receiving names from presbyteries, forwarding information, dealing with transportation, on-site registration, etc.);
- act as logistics manager during the General Assembly;
- preview and evaluate sites for future meetings of the General Assembly in consultation with the Principal Clerk;
- assist the Clerks of Assembly as may be requested during the meetings of the Assembly;
- supervise the work of on-site General Assembly Office; and
- supervise the production and distribution of the Acts and Proceedings and the Book of Forms.
- Relating to the Assembly Council:
- oversee preparations of the logistics and documents for meeting of Council and its committees;
- attend meetings to record and prepare the minutes of the Council;
- assist the Secretary of the Council (Principal Clerk) with agenda and documentation preparation; and
- assist with other specific assignments as they arise
- Relating to Overall Work in the Assembly Office:
- responsible for the changes of the roll (of ministers/diaconal ministers, congregations, etc.); noting that while an Administrative Assistant does the work of maintaining the information in Raisers Edge, the Sr. Administrator ensures its accuracy;
- attend and give administrative support to the biennial Clerks’ Consultation;
- supports the Moderator of the General Assembly by organizing and maintaining the Moderator’s itinerary, being the secretary for the Committee to Advise with the Moderator and assisting the Principal Clerk with the nomination process for Moderator;
- provide and/or arrange various administrative support for committees for which the General Assembly Office is responsible;
- liaise with staff, professional church workers and committee members regarding reports and information related to the Assembly Office;
- supervise the work of support staff;
- prepare correspondence as it relates to various tasks and committees;
- maintain records of monthly benevolence recipients, payments and correspondence; and
- supervises the preparation of financial requisitions and maintains the department’s financial information.
GENERAL QUALIFICATIONS AND PERSONAL CHARACTERISTICS
The incumbent shall possess:
- an understanding of the ethos, governance, distinctiveness and polity of The Presbyterian Church in Canada;
- an undergraduate degree and 5 years’ experience in a relevant field;
- experience in administration and staff supervision;
- experience in event and meeting planning and execution;
- ability to organize, engage in multiple tasks /projects and discern priorities;
- ability to interact well with people throughout the denomination, staff and other organisations;
- excellent communication skills, oral, written and electronic;
- ability to maintain confidentiality; and
- proficiency in Microsoft Office, including Word, Teams, and knowledge of database software.
WORK REQUIREMENTS
This position is an office-based role with the requirement to be present in the national office.
A criminal Record-Check – Vulnerable Sector is required.

Starting Salary range – $74,778 – $81,015
