MacDonald Search Group is proud to partner with one of Vancouver’s most respected criminal law firms in their search for a highly organized, experienced Executive Legal Assistant.
***Please note, we are getting an early start on this search as the anticipated start date for this position will be in mid-April 2026***
Our client is a small but high-volume and fast-paced firm that requires their new team member to have exceptional attention to detail, strong administrative skills, and a proactive approach. You will be the cornerstone of their daily operations, providing essential support to the legal team and ensuring the smooth functioning of the office.
Key Responsibilities
- Executive Support: Managing calendars, scheduling meetings, and assisting with various administrative tasks for the principal lawyers.
- Office Management: Overseeing the day-to-day operation of the office, ensuring all necessary supplies and resources are available.
- Client Relations: Serving as the first point of contact for the office, demonstrating excellent interpersonal skills when answering phones, greeting clients, and managing correspondence.
- Document & Filing Management: Managing high-volume physical and electronic filing, maintaining an organized and accurate document control system.
- Financial Administration: Performing basic financial tasks, including preparing deposits for both
- Trust and General accounts and attending at the bank for deposit completion.
- General Administrative Tasks: Utilizing strong computer savvy to manage email, create and edit legal documents, and utilize practice management software.
- Workflow Coordination: Acting as an excellent multitasker to prioritize and manage multiple ongoing projects and deadlines simultaneously.
- Proven Work Experience: three to five years’ experience as an office assistant, preferably within a professional, white-collar boutique office setting (e.g., legal, accounting, finance, etc.).
- Legal Office Knowledge: A working knowledge of how a law office runs/functions is highly desirable, particularly with respect to client confidentiality, file management, and basic accounting/billing practices.
- Exceptional Organizational Skills and a meticulous approach to detail.
- Strong Interpersonal and Communication Skills (written and verbal).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy.
- Demonstrated ability to thrive in a fast-paced, high-volume environment.
- Ability to handle sensitive information with discretion and confidentiality.
