Executive Assistant – (Full Time, Permanent)

Our client is looking for a professional Executive Assistant to join their team.


What Your Impact Will Be

The role supports the CEO by providing administrative services which are of a confidential and sensitive nature. The EA responds to a wide range of general and confidential inquiries; liaises with internal and external contacts; monitors and initiates follow-up actions that support the CEO’s itinerary; prepares correspondence; and processes financial administration activities. The role has primary responsibility for coordinating and maintaining the CEO’s appointments calendars; scheduling regular meetings; and event management and organizing the CEO’s travel arrangements.

Vancouver. BC.

Responsibilities

  • Responding to a wide range of general and confidential inquiries.
  • Compiling and processing invoices, departmental journal vouchers, and cheque requisitions, as required.
  • Liaising with other parties to request and provide information, make referrals, and disseminate information.
  • Reviews incoming correspondence for the CEO, identifying items that should be forwarded or copied to other administrative offices.
  • Scheduling and coordinating meetings, and the CEO’s daily appointments.
  • Coordinating and arranging special events in consultation with the staff; contacting invitees, overseeing catering arrangements, and providing related support.
  • Making domestic and international travel arrangements.
  • Monitoring and initiating follow-up action on matters regarding scheduling or travel arrangements.
  • Managing and administering electronic and manual record-keeping systems.


Must Haves

  • Degree in business administration, Administrative Management, or other relevant discipline, and three years of related experience; or an equivalent combination of education, training, and experience.
  • Banking, Technology, Real Estate experience (preferred)
  • Proactive, intuitive and detail oriented
  • Experience/writing ability to assist with some communications work if needed.
  • Time management, interpersonal and communication (verbal and written) skills.
  • To maintain strict confidentiality, and exercise mature judgment, tact, and discretion.
  • Organization skills and the ability to prioritize effectively.
  • To record and transcribe minutes.
  • Knowledge of word processing, spreadsheet, and database applications.
