JOB TITLE: Digital Media Coordinator

Reports to: Marketing Director
Location: Burlington, ON (Hybrid / On-site as required)

ROLE OVERVIEW

The Digital Media Coordinator supports the Marketing Director in executing day-to-day marketing initiatives that drive awareness, trial, conversion, and retention. This role is highly executional and operational, serving as the primary hub for content deployment, community interaction, and inbound marketing communications.

You will work closely with the Marketing Director, Club Director, coaches, staff, and external agencies to ensure that marketing content is produced, published, optimized, and responded to accurately, promptly, and in brand alignment.

 

KEY RESPONSIBILITIES

Agency & Content Coordination

  • Work with the external agency to help plan content calendars
  • Coordinate filming and photography, liaising with coaches and staff involved in content creation
  • Review and provide feedback on videos, reels, posts, and stories produced by agencies to ensure accuracy, tone, and brand alignment

Social Media Management & Community Engagement

  • Work with agencies to publish and manage social media content across Instagram, Facebook, TikTok, and YouTube
  • Reply to all social media comments and messages in a timely, professional, and on-brand manner, outside of agency commitments
  • Fulfill all ad hoc social media requests from coaches and staff (e.g., promoting programs, highlighting achievements, sharing stories), outside of agency commitments
  • Be present at all key club events, leagues, clinics, and activations to capture photos and videos for immediate social media posting and to share with the external agency
  • Be on-site at the club when needed to support real-time content creation and community engagement
  • Monitor engagement and flag trends, issues, or opportunities to Joyce

Design & Creative Production

  • Create, maintain, and optimize all ads displayed on on-site digital monitors, aligned with programs, offers, and seasonal priorities
  • Create, maintain, and optimize ads within the booking platform, aligned with programs, offers, and seasonal priorities
  • Design and produce brochures, flyers, and on-site signage to support programs, events, and promotions

Email Marketing & CRM

  • Help plan and execute email blasts, including copywriting and design
  • Build and manage nurture campaigns and marketing automations to:
    • Increase first-time play
    • Convert players into members
    • Retain and re-engage current members and players
  • Maintain email lists, segmentation, and basic performance tracking

 

Brand & Reputation Management

  • Reply to all Google reviews in a timely, professional, and brand-aligned manner
  • Ensure brand consistency across all marketing materials and customer touchpoints
  • Organize and maintain marketing assets (photos, videos, templates, copy)

Campaign Tracking & Coordination

  • Maintain marketing calendars and project trackers
  • Work with external agencies on campaign reporting and performance summaries
  • Support research, benchmarking, and coordination tasks with external agencies

Competitive Monitoring & Market Awareness

  • Monitor social media activity of direct and indirect competitors, including upcoming or emerging clubs and facilities
  • Track competitor content themes, promotions, formats, and engagement trends
  • Share regular insights, observations, and notable activity with the Marketing Director to inform positioning and campaign planning

 

QUALIFICATIONS & SKILLS

Required

  • Strong knowledge and hands-on experience with social media platforms (Instagram, Facebook, TikTok, YouTube)
  • Excellent writing skills across marketing formats, including emails, ad copy, and social media captions
  • Working knowledge of basic design and editing tools (e.g., Canva, CapCut)
  • Comfortable using email marketing platforms (e.g., Patch Retention or similar tools)
  • Strong aesthetic judgment and attention to visual detail
  • Ability to capture high-quality, social-media-ready photos and videos
  • Excellent organizational, prioritization, and execution skills
  • Comfortable coordinating with agencies and internal teams

Nice to Have

  • Experience in sports, fitness, or community-based brands
  • Interest in and ability to play pickleball and/or padel
